Internal tools that replace spreadsheets and manual processes

We build internal tools and operations systems for teams whose core logic lives in spreadsheets, inboxes or a few people's heads. The result is software that encodes how your business actually works, with structured data, clear workflows and an audit trail.

Internal tools rarely get the engineering attention customer-facing products do, but they often carry just as much risk. We build them with the same discipline: validated data, permissions and predictable behaviour.

This is a good fit if

  • Core business logic lives in spreadsheets or tribal knowledge
  • Too much depends on a few key people doing things manually
  • Data is duplicated across tools and nobody trusts which copy is right
  • Operations slow down or break as volume grows

What's included

Process mapping

We document how the work is done today, including the exceptions and workarounds, before designing the system.

Data model and single source of truth

One structured place for the data your operations depend on, with validation instead of copy-paste.

Workflow automation

Repetitive steps automated, with humans kept in the loop where judgment is needed.

Integrations

Connections to the tools you already use (email, payments, providers and existing databases) so the system fits your operations.

Roles, permissions and audit trail

Who can see and change what, and a record of what happened when.

What you get

  • A working internal application your team uses daily
  • Migrated and cleaned-up data from existing spreadsheets or tools
  • Documentation for operators and for future developers
  • Optional ongoing support and iteration

Digital Commerce Infrastructure

Context

A digital commerce platform enabling merchants to sell game tokens and digital goods across multiple providers and regions. The system needed to abstract away highly fragmented external catalogs while maintaining reliability at scale.

What made it non-trivial

  • Inconsistent product naming, SKUs, and structures across providers
  • Region-specific pricing, availability, and compliance rules
  • Redundant and overlapping catalog entries across storefronts
  • Provider instability that could not affect downstream systems
  • Need for traceability, reproducibility, and safe reprocessing of data

Our role

We designed and implemented the ingestion pipeline, normalization logic, internal product model, and operational safeguards across the platform. This included defining how external data mapped into a unified internal representation and how failures were isolated.

Outcome

The platform shipped with a stable internal catalog, predictable ingestion behavior, and the ability to onboard new providers without reworking existing systems. Merchants gained reliable local fulfillment while internal teams retained confidence in data consistency.

How we work

  1. 01

    Understanding the problem properly

Before writing code, we focus on clarity. We take the time to understand the product goals, technical constraints, and risk areas — so we’re solving the right problems, not just the visible ones.

  2. 02

    Designing the right foundation

We define architecture, system boundaries, and key technical decisions early. This creates a stable foundation that supports growth, change, and long-term maintainability.

  3. 03

    Building with discipline and visibility

Development happens in controlled iterations, with regular communication and working software. Progress stays visible, and technical risk is managed continuously — not deferred.

  4. 04

    Preparing for real-world use

We focus on performance, reliability, and edge cases to ensure the product holds up under real users, real data, and real load — not just internal testing.

  5. 05

    Leaving you with something sustainable

We deliver clean, documented, maintainable code that your team can confidently operate, extend, and scale — without rewrites or dependency on us.

Frequently asked questions

Why not use a no-code tool?

No-code tools are a good fit for simple workflows. Once you have complex rules, many integrations, sensitive data or growing volume, custom software is usually cheaper and safer over time. We will tell you if a no-code tool is the better answer.

Can you migrate our existing spreadsheets?

Yes. Data migration and cleanup is part of the work, including finding duplicated or inconsistent records along the way.

Will our team be able to maintain it?

Yes. We deliver documented, conventional code. We can also stay on to run and extend the system with you.
